The Embassy of the Republic of Poland in New Delhi and the Consulate General in Mumbai have issued a clear notice stating that they do not work with travel agencies, visa agents, or any intermediaries for processing visa applications. All applications must be submitted through official Polish government systems, and not through third-party facilitators.
This clarification follows rising concerns over fraudulent claims and misinformation about available visa slots for Poland. The consular missions have reiterated that there are only two authorized platforms for registering and submitting visa applications.
For those applying for national visas related to work or study, the e-Konsulat website is the designated platform. Applicants need to register, complete the application, print the form, and then submit it at their assigned VFS center. For Schengen visas and other national visa categories, the VFS Global website is used. Appointments are scheduled electronically—either by a weekly lottery system for work visas or on a first-come, first-served basis for study visas.
Using agents or intermediaries does not offer any advantage in securing a visa. Only the appointed consular officer has the authority to assess and decide on visa applications. No outside party can influence this process, and applicants are advised to rely solely on the official visa documentation requirements as outlined on the embassy’s platforms.
Appointment slots for national work visas are distributed weekly through an electronic draw. Applicants are informed of their appointment dates using the contact details they provide during registration. For study visas, appointments are given in the order of registration on the e-Konsulat portal. Confirmations are sent directly to applicants.
Every applicant is required to appear in person at the VFS center on their scheduled date, carrying a printed copy of their completed application form and all necessary supporting documents.
The embassy and consulate have emphasized that they do not handle appointment scheduling themselves. All bookings and submissions must go through either the e-Konsulat or VFS systems, depending on the type of visa being applied for.
